The Texas Public Policy Foundation is seeking an enthusiastic and trustworthy Executive Assistant to enhance the effectiveness of the Foundation’s CEO. The ideal candidate will be highly motivated, organized, trustworthy, and exercises sound judgement. This position will have a lot of interaction with Board Members, donors, and other VIPs. Therefore, discretion and propriety are a must.

The Executive Assistant’s responsibilities will include:

  • Scheduling and managing the CEO’s calendar, and ensuring he is briefed and has any materials needed in advance of meetings
  • Acting as the point of contact for the CEO, making sure he receives all inquiries and responds in a timely manner
  • Reviewing, processing, organizing, and responding to the CEO’s email and mail as needed
  • Coordinating all meeting logistics
  • Supervising daily operations and helping shepherd projects of high importance
  • Periodically assisting with general errands such as lunches for meetings
  • Coordinating all travel logistics to maximize cost and time effectiveness
  • Interacting with and assisting the Foundation’s Executive Team
  • Other duties and projects as assigned

The ideal candidate will possess:

  • 2–4 years’ experience as an administrative assistant
  • Cheerful and professional demeanor and high level of customer service
  • Persistence and resourcefulness in handling assigned tasks
  • Ability to take ownership of a task from initial planning to follow-up actions
  • High energy level and an entrepreneurial spirit
  • Ability to adhere to a plan while demonstrating flexibility when needed
  • Good organization skills and a strong attention to detail
  • Good command of the English language, good writing ability
  • Experience using Microsoft programs (Word, Excel, and Outlook)
  • Self-starter mentality and the ability to work effectively both independently and in a team
  • Trustworthiness, discretion, and confidentiality
  • Ability to meet deadlines
  • A personal commitment to the principles of limited government, personal responsibility, and free enterprise
